Important Please Read First!

Do not remove the ink cartridge if the printhead is not installed in the printer. When the cartridge and printhead are removed at the same time, ink from the supply line will leak from the tube and drip from the needle in the cartridge carriage out into the printer and interior.

  • If the Low Ink or Out of Ink Warning is displayed, select “Replace ink cartridge”
  • Otherwise, on the Home screen of your printer push the “Settings” button.
  • Choose “Hardware”, and then choose “Printer”.
  • Next choose the “Ink cartridges” tab, and then “Replace ink cartridge”.
  • Open the cover and remove the ink cartridge by pulling it straight out of the machine. Note the orientation of the ink cartridge as you remove it from the machine.
  • You will see a warning that an ink cartridge is not installed. Press “Clear message”.
  • Remove the replacement cartridge from the bag.
  • Be sure the alignment of the replacement cartridge is the same as the cartridge you removed, and push it into place.
  • Close the cover.
  • Choose “Print test sample” to confirm that the replacement cartridge has been correctly installed.
  • If the lines on the sample are solid and the sample is of good quality, choose “Image is OK – Done”.
  • If the lines on the sample are not acceptable, you will want to clean the print heads to improve the quality of the print. For help on how to clean the print heads, select the Poor Print Quality troubleshooting option.

If your system prints in color, you should align the print heads after installing a replacement cartridge.

  • Press the “Settings” button on the home screen of your printer.
  • Choose “Hardware” from the Settings screen.
  • Choose the “Print head” tab.
  • Push the “Align print heads” button, and that screen will appear.
  • You will be prompted to choose what you would like to align
  • Envelope and tape
  • Envelope only
  • Tape only
  • Please consult your printer’s user manual for detailed instructions on how to align the media you would like to choose.
If you receive an Error Message or Code of 04184200A9, this means that the cartridge installed is not being recognized properly.

  • Remove the cartridge and locate the chip on the bottom of the cartridge.
  • If possible, clean the chip with a lint-free cloth such as a coffee filter.
  • Reinstall the cartridge.
  • If the low ink message is still displayed, there may be a problem with the chip on the cartridge; and you should contact the seller of your remanufactured cartridge.
If you have just installed a replacement cartridge and receive a “Low Ink Warning” message, carefully remove the cartridge from the printer and locate the chip on the bottom of the cartridge.

  • If possible, clean the chip with a lint-free cloth such as a coffee filter and reinstall into the printer.
  • If the low ink message is still displayed, there may be a problem with the chip on the cartridge; and you should contact the seller of your remanufactured cartridge.

If the cartridge has been in use for awhile, the “Low Ink Warning” indicates that there is enough ink for about 10 more days of mailing. If you choose to ignore this warning, the message will be displayed again about 2 days before the ink runs out.

When the “Out of Ink” warning is displayed, you will need to replace the ink cartridge.
If your postage machine is producing poor impressions, you may need to clean the print heads.

Please keep in mind that this process may vary by machine and that you may also consult your machine’s user manual for instructions on performing a cleaning cycle.

  1. Push the “Settings” button on the home screen on your printer.
  2. Next choose “Hardware”.
  3. Choose “Printer”, then the “Print head” tab.
  4. Choose “Clean print head”. The cleaning will take about one minute.
  5. When the print head cleaning has been completed, the printer will prompt you to print a sample.

Fill out the form fields for your new user. Select which permissions your new user should have and assign a username and password. Click Save. You will receive an e-mail confirming the new user has been set up successfully. Follow this procedure to set up each new user.

After you have created a new user, the new user will receive an automated email with their new user name and password. They will be given instructions on how to change their password if they would like to choose their own. However, as an administrator, you will always have access to delete/edit users, view their profile information (including their password) and change their permissions.

If you need to edit a user, there are links beside each user to edit or delete the user’s profile.

If you delete a user, the user will now appear on the Deleted Users Page and you can Re-Activate at any time if you need to do so.
